What is Xflow?

Xflow is a platform we have built to plug all these gaps you have and brings all the steps of manufacturing clear aligners together in-house through seamless and flexible workflow solutions. ​

Our mission is to connect all these platforms, manufacturing equipment and service providers, for scanning through to manufacturing, to create clear benefits for dentists, orthodontists, labs and their patients and allows you to ‘take control’  of this workflow yourselves. ​


Getting Started

How do I sign up?

You can sign up via https://dentalaxess.com/products/xflow/ and clicking ‘Register’ but first, please speak to us to ensure you have the right plan set up for you and that we have everything configured to your needs as there are many ways Xflow can be set up for you. From here you can select an appropriate payment plan which will direct you to a secure Stripe payment page. Once this is completed, you will be directed to a Sign-up page.

How do I add users?

If you wish to add users please contact support@dentalaxess.com. 

Why do I have to put my card details down on the free plan?

Card details are taken when you subscribe for any orders you put through to any Dental Axess services or partners available via Xflow. These services will be charged to your card only upon usage. Payment and invoices will be issued accordingly the following month for the previous month.

I have signed up on one of the lab plans and now I need to add my practices and labs to Xflow to order from me. How do I do this?

Please contact us to let us know your business and all the users you wish to set-up and we will help you do this!

I have finished my trial and no longer want to use the platform. How do I cancel?

Please contact us with the email you used to sign up on stripe and we will cancel this for you.


Cloud Storage

Securely store 2D and 3D case files in the cloud. This enables the sharing of access to this data without having to send the data attached to emails, for example. A couple of clicks using the partner’s email address shares access to the case. The partner or processor does not have access to patient details such as name. 

I am on the basic plan and want cloud storage so that my data does not disappear after 30 days. How do I do this?

You can purchase an add-on for cloud storage. This will ensure that your data will not be wiped out after 30 days.

How do I share cases with partners?

Cases can be shared with partners using the Share Case function by submitting an email address. This automatically invites the recipient to access the case and they have the ability to download copies of files and upload new files to update the case data. Currently invited partners have access to shared cases on Xflow for free. They only need to sign up using the link provided by your invitation from the platform for instant access. 

How long will my cases be stored?

It is possible at any time to download the case files and scans for any patient to a local machine. We will provide a service to inform you when regulatory requirements for data storage have been satisfied given local jurisdictions. 

Terms of Service & Privacy 

Xflow is built and designed for the modern and future regulatory environment whether that be GDPR, HIPAA, PIPEDA or other jurisdiction. Dental Axess and their development partners take every effort to ensure the use of secure technology and processes. It must be considered that client data will be accessible to partners outside local regions in order to fulfil the legitimate needs of providing the service contracted. This is undertaken with due care and respect for all parties involved and their data.

Manual and automated data upload

What scanners can I connect to directly upload patient data?

Xflow is currently integrated with Trios 3shape and Medit scanners via API, enabling scans and content from the scanner order form to be uploaded to Xflow automatically. Xflow is also compatible with any STL files exported from all other scanners.  We plan to include integrations with other market leading IOS providers in your subscription very soon.

What if I don’t have a scanner?

Any user can also upload a new patient independently of the scanner and add files to an existing case manually. A partner lab can be invited to view the case and has the ability to download copies of the files and upload new files manually to update the case. These features maintain a singular and up-to-date resource for managing case data.


Ordering

What can be ordered from Xflow?

You can currently order aligners and retainers from lab partners, and retainer and digital model orders from the AI service from within Xflow.

Who can I order from in Xflow?

This will all depend on what you have signed up for to support your operations.

Aligners – We currently offer aligner design service via SoftSmile Vision to users that require their aligners designed for manufacturing.

Retainers – We currently offer an AI powered design service available for those who want automated designs completed in less than 5 minutes.

We already integrate with SoftSmile aligner design services and our AI design services however if you are working with a third party lab that operates within Xflow, you will also be able to order from them also.

How do I order these services?

You can order by navigating to ‘Patients’ > Open the relevant patient > Select ‘Create New Order’. From here you will have a new pop-up dialogue where you can ‘Select the product type’ > ‘Choose a partner’ > follow the dialogue to add files and complete order.

Your orders will appear on the ‘Orders’ list to track and manage.

What if I want to order the same service for a bulk number of cases?

We allow for you to make a bulk order by navigating to the ‘Cases’ list > Selecting the cases you would like to send > Selecting ‘Bulk Create New Orders’.

Your orders will appear on the ‘Orders’ list to track and manage. Each case will be sent as separate orders unless there is more than one case selected for the same patient. In this case, your cases will be combined into one order.

What if I want to design the treatments myself?

If you are using our SoftSmile’s VISION platform to plan, you will be able to do so from within Xflow.

We plan to include integrations with other market leading CAD providers in very soon.


Manufacturing

3D Printing

The manufacturing process usually involves 3D printing, thermoforming, separating and cutting aligners. We aim to digitalise and automate this process from start to finish.

My design is completed now, how do I start 3D printing?

Once your designs are completed, they should show up on the ‘Orders’ list. Here you can select one or more completed cases of the same product type and ‘Create 3D print task’. Doing this will prompt a zip file download of your selected production files to your local drive and tasks will appear for this on the ‘Task’ list for you to manage your work. You can now upload these files into your 3D printing platform of choice to slice and transform for 3D printing.

Please note that your completed design orders should now have production files. This must be available before you can download your files.

I use Oqton for my 3D printing. Do you integrate with Oqton?

Yes! We can now scan cases to Oqton directly so you trace your production online without having to download files to your local drives. To do this, select a completed design order and ‘Create Oqton task’.

Laser aligner cutting

We have integrated directly into the Laser Aligner Cutter (LAC) which allows you to send your completed design files (production files) to the LAC and have it ready to cut your trim line as soon as you close the door.

How do I send my files to the LAC to cut?

Once your trim paths are completed, they should show up on the ‘Orders’ list. The file format for these files are .PTS.

From the ‘Orders’ list you can select one or more completed orders of the same product type and ‘Create LAC task’. Doing this will send your completed order to the LAC and tasks will appear for this on the ‘Task’ list for you to manage your work.

Please note that you will need a pair of completed STL and PTS files for the order to be sent to the LAC. Please also note that the LAC needs to be on and connected for the jobs to arrive on the dashboard.

All my tasks are now completed, how do I organise these?

From the ‘Tasks’ list, you can now select any task and mark it as ‘Closed’. This should prompt the following actions: Oqton tasks will be marked as Closed, LAC tasks will be marked as Completed and be removed from the LAC dashboard and 3D print tasks will be marked as Closed.
